Mortgage document checklist for brokers
This mortgage document checklist covers what lenders usually ask for: photo ID, proof of address, payslips, annual income records, self-employed accounts, bank statements, deposit evidence, debt statements and the purchase contract. DocAsker sends it to the borrower as one link and checks each upload for quality, document type, statement periods, signatures and missing pages. Requirements vary by lender and country, so confirm the current list.
Documents needed for a mortgage application
Mortgage and loan brokers use this checklist when a borrower is ready to apply, ideally before an offer is made on a property.
- 01
Government-issued photo ID
Lenders need to confirm the identity of every applicant. Ask each applicant for a passport, national ID card or driver's license that is currently valid.
Format: Photo or PDF
DocAsker checks: DocAsker checks that the image is sharp, free of glare and not cropped, and that the ID has not expired.
- 02
Proof of address
Lenders check the applicant's current address against the application and credit file. Ask for a utility bill, bank statement or government letter dated within the last 3 months.
Format: PDF or photo
DocAsker checks: DocAsker checks that the file is an accepted proof of address and that its issue date falls within the last 3 months.
- 03
Payslips for the last 3 months
Recent payslips show regular income, overtime and deductions. Ask for each payslip in the period, not a single summary, for every employed applicant.
Format: PDF from the payroll portal or photo
DocAsker checks: DocAsker checks that each file is a payslip and that together they cover the 3 months you requested.
- 04
Annual income statements or tax returns for the last 2 years
Annual records show income over time, including bonuses and other earnings. Ask for the year-end income statement from the employer or the tax returns filed for each of the last 2 years.
Format: PDF
DocAsker checks: DocAsker checks that the documents cover the 2 years you requested and that every page is included.
- 05
Business accounts for the last 2 years, if self-employed
Self-employed borrowers usually need to show trading history and profit. Ask for accounts prepared by their accountant, or the tax calculations and returns your lender accepts.
Format: PDF
DocAsker checks: DocAsker checks that the accounts cover the 2 financial years you requested and that no pages are missing.
- 06
Bank statements for the last 3 months
Statements show salary coming in, regular spending and existing commitments. Ask for statements for every current account, downloaded from online banking, and set 6 months if your lender requires it.
Format: PDF from online banking
DocAsker checks: DocAsker checks that each statement covers the requested months and that multi-page statements arrive with every page.
- 07
Proof of deposit and savings
Lenders want to see where the deposit is held and how it was built up. Ask for savings or investment statements showing the balance and the account holder's name.
Format: PDF from online banking
DocAsker checks: DocAsker checks that each file is a savings or investment statement dated within the period you set.
- 08
Signed gift letter, if family is helping with the deposit
A gift letter confirms the money is a gift, not a loan, and that the giver has no claim on the property. Ask the giver to sign the letter and add their ID and a statement showing the funds.
Format: Signed PDF
DocAsker checks: DocAsker checks that the signature fields on the gift letter are filled in.
- 09
Latest statements for existing debts
Credit cards, car finance and personal loans affect how much a lender will offer. Ask for the most recent statement for each debt showing the balance and monthly payment.
Format: PDF
DocAsker checks: DocAsker checks that each statement is dated within the period you set.
- 10
Signed purchase contract or sale agreement
The contract confirms the property, price and parties. Ask for the signed agreement or the memorandum of sale once an offer has been accepted.
Format: Signed PDF
DocAsker checks: DocAsker checks that the signature fields are filled in and that every page of the contract is included.
This checklist is a starting point. Requirements vary by country, authority and case, so confirm the current list before you send it.

Tips for collecting mortgage documents from borrowers
Start before the borrower finds a property
Most of these documents do not depend on the property. Collect them early so you can move as soon as an offer is accepted, and add the purchase contract to the same request later.
Set statement periods on every item
Lenders reject applications when a month is missing or a statement is too old. Set the required months on each item so DocAsker checks every upload against them and the borrower sees a gap straight away.
Use one item per applicant
For joint applications, add separate ID, payslip and bank statement items for each person. It is then clear whose documents are missing, and reminders list exactly what is still needed.
Ask for downloaded statements, not screenshots
Lenders usually want complete statements showing the bank name, account holder and period. A PDF downloaded from online banking meets that. Phone screenshots usually do not.

Frequently asked questions
What documents do I need for a mortgage application?
Usually photo ID, proof of address, recent payslips, annual income records or tax returns, bank statements, proof of deposit and statements for existing debts. Self-employed borrowers also need business accounts or tax returns, and the purchase contract follows once an offer is accepted. Requirements vary by lender and country, so confirm the current list with the lender.
How many months of bank statements do mortgage lenders want?
Usually 3 months, though some lenders ask for 6. Statements should cover every current account, show the account holder's name and include every page. In DocAsker you set the required months on the item and each upload is checked against them.
What extra documents do self-employed borrowers need?
Usually 2 years of business accounts or tax returns, and sometimes business bank statements. Some lenders accept 1 year of trading history, while others want more. Check the lender's criteria before you send the request.
What is a gift letter for a mortgage?
A gift letter is a signed statement from the person giving money toward the deposit. It confirms the money is a gift that does not need to be repaid and that the giver has no claim on the property. Lenders often also ask for the giver's ID and proof of the funds.
Can borrowers upload mortgage documents from their phone?
Yes. The DocAsker link opens on any phone without an account or app. Borrowers can photograph paper documents or upload PDFs, and phone photos are converted to PDF.
