Acceptance of these terms
By creating an account, starting a trial or using DocAsker, you agree to these terms. If you use DocAsker on behalf of a firm or other organization, you confirm that you have the authority to accept these terms for it, and "you" means that organization.
If you do not agree to these terms, do not use the service.
The service
DocAsker is client document collection software. You send each client a secure link with a checklist of the documents you need. Clients upload files or take photos with a phone camera, and each upload is checked by AI when it arrives.
Depending on your plan, the service also includes reminders by email or SMS, renaming and filing of accepted files to the DocAsker workspace or to Google Drive, Dropbox or OneDrive, and team features. The features of each plan are described on our pricing page.
We may improve, change or remove features over time. If we remove a feature that is a main part of your plan, we will tell you in advance.
Accounts
You need an account to send requests. Please give us accurate information and keep it up to date. You are responsible for keeping your login details safe and for everything that happens under your account, including the actions of team members you invite.
Tell us right away at [email protected] if you think someone has used your account without permission. Your clients do not need an account to upload documents.
Free trial
New accounts can try DocAsker free for 14 days. No payment card is needed to start a trial.
At the end of the trial, you can choose a paid plan to keep using the service. If you do not, you will no longer be able to send new requests. We may limit or end trials that are being misused.
Plans and billing
Paid plans are billed monthly in advance, in US dollars. Prices are shown on our pricing page and do not include taxes unless we say so. You authorize us and our payment provider to charge your payment method at the start of each billing period.
You can cancel at any time from your account. Cancellation takes effect at the end of the current billing period, and you keep access until then. We do not give refunds for partial months unless the law requires it.
If you upgrade, the new plan starts right away. If you downgrade, the change takes effect at the start of your next billing period. If we change our prices, we will tell you by email before the change applies to your plan, and the new price will start from a later billing period.
If a payment fails, we will let you know and may pause the service until the payment is made.
Customer data and your responsibilities
"Customer data" means the files, checklists, client contact details and other content you or your clients put into DocAsker. You own your customer data. You give us permission to host, process and transmit it only as needed to provide the service to you, as described in our privacy policy.
You are responsible for having the right to collect and handle the documents you request, including any notice or consent your clients need, and for complying with the laws that apply to you, such as data protection, anti-money laundering or professional rules.
For personal data in customer data, you are the controller and we act as your processor. A data processing agreement is available on request at [email protected].
Acceptable use
You agree not to use DocAsker to break the law, to collect documents you have no right to request, to send spam or misleading messages, or to upload malware or content that infringes someone else's rights.
You also agree not to try to access other customers' data, interfere with or overload the service, get around usage limits or security measures, or copy or reverse engineer the service except where the law allows it.
If we reasonably believe you have broken these rules, we may suspend the affected part of your account. Where possible, we will tell you first and give you a chance to fix the problem.
AI checks are an aid, not a guarantee
DocAsker's AI checks look for common problems, such as blurry images, the wrong document type, dates or periods that do not match the request, empty signature fields and missing pages. They help you and your clients catch problems early.
The checks can be wrong. A check may miss a problem or flag a file that is fine. The checks do not verify that a document is genuine and are not legal, tax, immigration or compliance advice.
You stay responsible for reviewing documents and for any legal, regulatory or business decision you make based on them. Ready-made checklists are starting points: requirements vary by country, authority and case, so confirm the current list for each matter.
Availability and support
We work to keep DocAsker available and reliable, but we do not promise that it will always be available or free of errors. We may need to pause the service for maintenance, and we will try to do this at quiet times and give notice of planned work where we can.
Support is available by email at [email protected].
Intellectual property
We own DocAsker, including the software, design, ready-made checklists and our brand. While your account is active, we give you a limited, non-exclusive, non-transferable right to use the service for your business under these terms.
You keep all rights to your customer data and your logo. If you send us feedback or ideas, we may use them to improve DocAsker without any obligation to you.
Confidentiality
Each of us may share information with the other that is not public, such as customer data, business plans or non-public product details. We each agree to keep the other's confidential information private, use it only for the purpose of this agreement and protect it with reasonable care.
This does not apply to information that is already public, that the receiving party already had or developed on its own, or that must be disclosed by law. If the law requires disclosure, the receiving party will give notice where it is allowed to.
Termination, data export and deletion
You can stop using DocAsker and cancel your plan at any time. We may end or suspend your account if you seriously or repeatedly break these terms, if you do not pay, or if the law requires it. Where possible, we will give you notice first.
Before your account closes, you can download your files or keep them in your connected Google Drive, Dropbox or OneDrive. You can also delete requests and their files at any time.
After your account closes, we delete customer data from our active systems within a reasonable period, and copies in backups are removed as those backups are replaced, unless the law requires us to keep it. Sections that by their nature should continue, such as confidentiality, disclaimers and limitation of liability, survive termination.
Disclaimers and limitation of liability
Except as these terms say otherwise, the service is provided "as is" and "as available". To the extent the law allows, we do not give any other warranties, such as fitness for a particular purpose or that the service will meet every need you have.
To the extent the law allows, neither of us is liable for indirect or consequential losses, such as lost profits, lost business or loss of reputation. Our total liability to you for all claims under these terms is limited to the amount you paid us for the service in the 12 months before the event that led to the claim.
Nothing in these terms limits liability that cannot be limited by law, such as liability for fraud.
Changes to these terms
We may update these terms as the service or the law changes. We will post the new version on this page with a new date, and if a change is significant, we will tell account holders by email before it takes effect.
If you keep using DocAsker after a change takes effect, you accept the updated terms. If you do not agree, you can cancel your plan before the change applies.
Governing law and contact
These terms are governed by the laws of the country where DocAsker's operating entity is registered, and disputes will be handled by the courts of that country, unless the law where you are based gives you a right to bring a claim locally.
If either of us cannot enforce part of these terms, the rest still applies. These terms, together with our privacy policy and any data processing agreement we sign with you, are the whole agreement between us about the service.
For any question about these terms, email [email protected].
