Document collection software for accountants and bookkeepers

DocAsker is document collection software for accountants and bookkeeping firms. You send each client one secure link with a checklist for bank statements, receipts, payroll reports, last year's tax return and a signed engagement letter. Every upload is checked by AI as it arrives, so a statement for the wrong month or a blurry receipt goes back to the client before it reaches your team.

Why document collection is slow for accounting firms

  • Statements for the wrong months

You ask for January to March and get February twice, or a screenshot of the banking app. Each one means another email, and the gap often only shows up when you sit down to reconcile.

  • Files scattered across inboxes

Receipts arrive as email attachments, phone photos and shared folder links, named IMG_4021.jpg. Someone on your team spends the start of every job renaming and sorting them before any bookkeeping can begin.

  • Chasing the same clients every month

Month-end and year-end both depend on clients sending things on time. Writing reminder emails by hand and tracking who still owes what takes time away from the accounts themselves.

What DocAsker checks when your client uploads

  • The statement period

DocAsker reads the dates on each bank statement and compares them with the period you asked for. Your client sees: "This statement covers February 1 to 28. Your accountant asked for March. Please upload the March statement."

  • The right type of statement

A credit card statement or a utility bill cannot stand in for a business bank statement. Your client sees: "This looks like a credit card statement. Please upload the statement for your business checking account."

  • Readable receipts

Faded receipts photographed at an angle are the usual problem. Your client sees: "The total on this receipt is cut off. Lay it flat and take the photo again with the whole receipt in the frame."

  • A signed, complete engagement letter

DocAsker checks that the signature field is filled in and that every page arrived. Your client sees: "Page 3 of your engagement letter is not signed. Please sign it and upload all pages again."

How accounting firms use DocAsker

  1. 1Pick a checklist

Start from the accounting client onboarding checklist or write your own for monthly bookkeeping. Set the period each statement must cover and mark which items need a signature.

  2. 2Send one link per client

DocAsker emails the link to your client. They upload from a phone or computer without an account, and can come back to the same link to finish later.

  3. 3Let the checks and reminders run

Each file is checked as it arrives and sent back with a reason if something is off. Reminders go out on the schedule you set, list only what is still missing, and stop when the checklist is complete.

  4. 4Work from clean, named files

Accepted files are renamed, for example 2026-03_Nova-Logistics_Bank-statement.pdf, and filed to your DocAsker workspace, or to Google Drive, Dropbox or OneDrive on Pro and Firm. Anything that needs a person is flagged for review.

Frequently asked questions

Do my clients need an account to upload documents?

No. Your client opens the link on any phone or computer and uploads without an account, password or app. They can take photos with the phone camera or upload PDF, Word and Excel files, and return to the same link later to finish.

Where do client files go, and are they secure?

Files are encrypted in transit and at rest and stored in your DocAsker workspace, or filed to Google Drive, Dropbox or OneDrive on the Pro and Firm plans. Every upload, check and download is logged, links can expire or be revoked, and you decide how long files are kept. A data processing agreement is available on request.

Can I use DocAsker for monthly bookkeeping as well as year-end?

Yes. You can send a request for any period, such as one month's bank statements and receipts or a full set of year-end documents. Only requests that are still collecting documents count toward your plan, so completed monthly requests do not use up your limit.

Does DocAsker export figures to my accounting software?

No. DocAsker collects and checks documents and files them to your workspace or cloud storage, but it does not extract figures or post entries to accounting software. Your team works from accepted, consistently named files.

How much does DocAsker cost for an accounting firm?

Plans start at $39 a month for 25 active requests. Pro is $79 a month for 100 active requests, and Firm is $149 a month for unlimited requests and team seats. Every plan includes AI checks on every upload, and the 14-day free trial needs no card.
