Schengen visa document checklist
This Schengen visa document checklist covers what a short-stay applicant usually provides: application form, passport, photos, travel medical insurance, flight and hotel bookings, bank statements and proof of employment. DocAsker sends it as one link and checks each upload for quality, document type, dates and signatures. Requirements vary by consulate and case, so confirm the current list before you send it.
Documents to collect for a Schengen visa application
Immigration and visa consultants use this checklist when a client is preparing a short-stay Schengen visa application, ideally several weeks before the appointment.
- 01
Completed and signed visa application form
The consulate will not accept an application form that is unsigned or incomplete. Ask the client to check every answer, sign the form and upload all of its pages.
Format: Signed PDF or a photo of each page
DocAsker checks: DocAsker checks that the signature fields are filled in and that every page of the form is included.
- 02
Passport
The passport generally needs to be valid for at least 3 months after the planned departure from the Schengen area, be issued within the last 10 years and have at least 2 blank pages. Ask for the photo page and any pages with previous Schengen visas.
Format: Photo or PDF of each page
DocAsker checks: DocAsker checks that the photo page is sharp and free of glare and that the expiry date leaves the validity you set for the travel dates.
- 03
Two recent biometric photos
Photos are usually 35 x 45 mm with a plain light background and taken within the last 6 months. Ask the client to upload a scan or photo of the printed pictures they will bring to the appointment.
Format: JPG or PNG
DocAsker checks: DocAsker checks that the image is sharp, evenly lit and not cropped at the edges.
- 04
Travel medical insurance certificate
The policy must cover at least €30,000 in medical costs and repatriation, be valid in all Schengen states and cover the whole stay. Ask for the insurer's certificate, not the payment receipt.
Format: PDF from the insurer
DocAsker checks: DocAsker checks that the file is an insurance certificate and that its coverage dates include the full travel period.
- 05
Round-trip flight reservation
A reservation shows when the client enters and leaves the Schengen area. Ask for a booking or reservation with the client's name, flight numbers and dates.
Format: PDF or screenshot from the airline or agent
DocAsker checks: DocAsker checks that the file is a flight reservation and that its dates match the travel dates on the request.
- 06
Proof of accommodation
The consulate wants to know where the client will stay for each night. Ask for hotel bookings covering the whole trip or an invitation letter from the host with their address.
Format: PDF
DocAsker checks: DocAsker checks that the bookings cover the travel dates and that a host invitation letter is signed.
- 07
Bank statements for the last 3 months
Statements show the client can pay for the trip. Many consulates ask for 3 months and some ask for 6, so set the period your consulate expects and ask for statements from online banking or stamped by the bank.
Format: PDF from online banking
DocAsker checks: DocAsker checks that the statements cover the requested months and that every page is included.
- 08
Employment letter or proof of occupation
An employer letter shows the client has a reason to return home. Ask for a recent letter on company letterhead stating position, salary and approved leave dates, or business registration documents if self-employed, or a student enrollment letter.
Format: Signed PDF
DocAsker checks: DocAsker checks that the letter is signed and dated within the period you set on the request.
- 09
Cover letter explaining the trip
A short letter explains the purpose of the trip, the itinerary and who pays for it. Ask the client to sign and date it.
Format: Signed PDF or Word
DocAsker checks: DocAsker checks that the letter is signed.
- 10
Residence permit, if applying outside the country of nationality
Applicants who live in a country where they are not citizens usually need to show legal residence there. Ask for both sides of the residence permit.
Format: Photo or PDF
DocAsker checks: DocAsker checks that the image is sharp and that the permit has not expired before the planned return date.
This checklist is a starting point. Requirements vary by country, authority and case, so confirm the current list before you send it.

Tips for collecting Schengen visa documents from clients
Check the consulate's own list first
Each consulate and visa center publishes its own document list, and lists differ by country of residence and purpose of travel. Adjust this checklist before you send it. Add items such as a sponsor letter or proof of property when the case needs them.
Set the travel dates on the request
Passport validity, insurance cover and bookings all depend on the travel dates. When the dates are on the request, each upload is checked against them. A client whose insurance ends a day early sees that straight away.
Ask for the documents that take longest first
Employer letters and bank-stamped statements can take a week or more. Put them near the top of the list and send the link as soon as the client confirms the trip.
Keep the request open until the appointment
Consulates sometimes ask for an extra document after the appointment. Keeping the same link open means the client can add it without a new request.

Frequently asked questions
What documents are needed for a Schengen visa?
Most short-stay applications need a signed application form, a valid passport, two biometric photos, travel medical insurance, flight and accommodation bookings, proof of funds and proof of employment or study. Requirements vary by consulate, country of residence and purpose of travel. Always confirm the current list with the consulate or visa center handling the application.
How long must a passport be valid for a Schengen visa?
At least 3 months after the date the traveler plans to leave the Schengen area. The passport should also have been issued within the last 10 years and have at least 2 blank pages. Some consulates apply stricter rules, so check before the appointment.
How much travel insurance is required for a Schengen visa?
At least €30,000 of medical cover, including emergency treatment and repatriation. The policy must be valid in every Schengen state and cover the whole stay. Ask for the insurer's certificate rather than a receipt.
How many months of bank statements are needed for a Schengen visa?
Usually 3 months, though some consulates ask for 6. The statements should be recent and show the applicant's name and regular income. Check the consulate's list and set the period on the request so each upload is checked against it.
Can visa clients upload their documents from a phone?
Yes. The DocAsker link opens on any phone without an account or app, and clients can take photos with the camera. Phone photos are converted to PDF, and a blurry or cropped photo is flagged with the reason so the client can retake it.
