Document collection for immigration consultants and visa agencies

DocAsker is document collection software for immigration consultants and visa agencies. Each applicant gets one secure link with a checklist for passports, photos, bank statements, travel insurance and supporting letters. Every upload is checked by AI as it arrives, so an expiring passport, an unreadable scan or an old bank statement goes back to the applicant before you prepare the file.

Why document collection for visa applications takes so long

  • Passports that expire too soon

Many visas need a passport that stays valid well beyond the trip, and applicants rarely check. You often find out while preparing the file, or after the appointment is already booked.

  • Photos and scans that will not pass

Applicants photograph documents on a bed under a lamp. Glare, cropped corners and blurred numbers mean asking again for the same page, sometimes more than once.

  • One family, many applicants

A family application can mean dozens of documents across four or five people. Tracking who has sent which page through email and messaging apps is where things get missed.

What DocAsker checks before you prepare a visa file

  • Passport validity

Set a minimum validity on the passport item and DocAsker compares it with the expiry date. Your client sees: "This passport expires in 4 months. The application needs at least 6 months of validity. Please upload a renewed passport or contact your consultant."

  • Bank statement dates

Consulates usually ask for recent statements covering a set number of months. Your client sees: "This statement ends on June 30. Please upload statements for the last 3 months, up to the current month."

  • Readable passport pages

DocAsker looks for blur, glare and cut-off edges on every photo. Your client sees: "The bottom of the passport page is cut off, including the lines of code. Place the passport flat and fit the whole page in the frame."

  • The document you asked for

A hotel booking cannot stand in for travel insurance. Your client sees: "This looks like a hotel reservation. Please upload your travel medical insurance certificate."

How immigration consultants use DocAsker

  1. 1Start from a visa checklist

Begin with the Schengen visa checklist or write your own for the routes you handle. Requirements vary by country, consulate and visa type, so confirm the current list and adjust the items before you send.

  2. 2Send a link to each applicant

You can send a separate request for each person in a family application, so documents stay with the right applicant. The link opens on any phone, and applicants can photograph each page with the camera.

  3. 3Fix problems before the appointment

Expiring passports, old statements and unreadable photos go back with a plain reason as soon as they arrive. Anything that needs a person is flagged for you to review.

  4. 4Prepare the file from accepted documents

Accepted documents are renamed consistently and filed to your workspace or connected cloud folder. Reminders stop once everything is in, and you prepare the application from files you know are complete.

Frequently asked questions

Do visa applicants need an account to send documents?

No. Applicants open the link on a phone or computer and upload without an account, password or app. They can photograph each page with the phone camera, and phone photos are converted to PDF.

Where are passport scans stored, and who can see them?

Files are encrypted in transit and at rest and kept in your DocAsker workspace, or filed to Google Drive, Dropbox or OneDrive on Pro and Firm. Every upload, check and download is logged, links can be revoked at any time, and the Firm plan adds team permissions. You decide how long files are kept, and a data processing agreement is available on request.

Can DocAsker check that a passport is valid for 6 months?

Yes. You set a minimum validity on the passport item, such as 6 months, and DocAsker compares it with the expiry date on the passport. If the passport falls short, the applicant is told straight away.

Is the Schengen visa checklist the same for every country?

No. The checklist is a starting point. Requirements vary by consulate, visa type and the applicant's situation, so confirm the current list with the relevant authority and edit the items before you send the request.

Does DocAsker submit the visa application?

No. DocAsker collects and checks the documents your applicants send you. You still prepare and submit the application through the consulate, visa center or online portal.
